The best Workday AI agent use cases are usually not futuristic. They are the ordinary HR requests employees and HR teams repeat every day.
1. Check PTO balances and request leave
Leave management is an ideal example because the employee journey contains both information and action.
An employee may ask:
“What's my PTO balance?”
The agent can retrieve the permitted Workday information and return it conversationally.
The next request may be:
“Can I take Monday and Tuesday off?”
Now the agent needs to collect the necessary details, initiate the leave request, respect the appropriate Workday business process, and tell the employee what happens next.
Workday's Self-Service Agent already supports absence-related capabilities, including requesting time off.
For HR teams evaluating Workday PTO automation, this distinction matters. The objective should not simply be fewer questions about PTO. It should be fewer manual steps between the employee's request and its resolution.
2. Handle payroll and payslip requests
Payroll creates a large volume of repetitive employee questions:
“When do we get paid?”
“Where can I find my payslip?”
“Can I see my previous pay statement?”
“Why is this deduction here?”
A Workday AI agent can make permitted payroll information easier to access conversationally. Workday itself now positions the Self-Service Agent as a way to help employees get payroll information while reducing repetitive payroll inquiries.
But not every payroll question should be autonomously resolved.
If an employee believes their pay is wrong, the agent should not invent an explanation from incomplete information. It can retrieve relevant context, explain an approved policy where appropriate, and hand the discrepancy to payroll or HR when investigation is required.
That boundary between automation and judgment is central to responsible HR AI.
3. Update employee information
Employees frequently need to change information such as an address, emergency contact, or other permitted personal details.
A conversational experience can remove some of the navigation involved, but convenience should not bypass authorization.
The AI agent still needs to identify the user, confirm that the requested change is allowed, collect the correct information, perform the permitted action, and confirm the result.
Workday's Self-Service Agent explicitly supports updates to personal information.
The important point is that the conversation changes the interface, not the underlying access rules.
4. Check or submit timesheets
Time-entry questions are another good fit for Workday workflow automation because they are repetitive and usually structured.
Employees may want to know whether a timesheet was submitted, what is still outstanding, or whether a supported entry can be completed.
The agent can retrieve status, guide the employee through missing information, initiate the permitted action, and surface the appropriate confirmation.
For managers, the same conversational model can reduce the friction around reviewing or acting on pending work.
5. Answer benefits and HR policy questions
Some employee questions cannot be answered from Workday data alone.
Imagine an employee asks:
“How much parental leave am I eligible for?”
The answer may require two different types of context.
Workday can provide information about the employee, while the organization's parental-leave policy may live in SharePoint, Confluence, Google Drive, Notion, or another approved knowledge repository.

6. Coordinate employee onboarding
Onboarding shows where a Workday transaction can become a much larger employee workflow.
Workday may contain the new employee's name, role, manager, department, location, and start date.
But being “created in Workday” does not necessarily mean the employee is ready for day one.
The organization may still need to create an identity account, assign Microsoft 365, grant application access, prepare equipment, create ITSM requests, distribute onboarding information, assign training, collect acknowledgements, and notify the manager.
Those activities may live in Entra ID, Okta, ServiceNow, Freshservice, Jira Service Management, Microsoft 365, Slack, Teams, or other applications.
That is why successful employee onboarding automation should be designed around the complete employee journey rather than one HR-system transaction.
